How to use our “Letter of Authority”

The LOA submission process is fast and hassle-free: Simply complete the mandatory fields – no document uploads are required. We will keep you updated as soon as the LOA is received and will not only send you a copy of the information you have provided, but also inform you after the LOA has been approved by our Customer Service teams.

This is how it works, step by step:
 

  1. Log in or Register for our Online Business and go to the Letter of Authority solution
  2. Select the type of Letter of Authority and insert your data in each mandatory field of the tool. 
  3. Click on 'Submit Letter of Authority' to send the information to our teams. 
  4. On the acknowledgement screen we will show you the LOA reference that has been created. You can refer to it in case of any questions. 


In case you have submitted a General LOA with a validity, we will inform you as soon as the LOA is about to expire.
In addition, we will let your Authorized Party know when they have been nominated for a specific B/L.


All in all, the transparency will be hugely increased, and self-service capabilities will be enhanced.
Eventually we will not only store the General LOA – but also link the matching B/L and initiate the release process if all pre-conditions, like payment received and B/L surrendered, are fulfilled.

The Consignee listed on the Bills of Lading is entitled to submit the Letter of Authority. 

You have the flexibility to nominate any of your partners. 

We offer two types of Letter of Authority: Single and General. A Single Letter of Authority allows you to authorize a third party to pick up released cargo at the destination for a specific Bill of Lading. On the other hand, the General Letter of Authority enables you to nominate a partner to pick up released cargo at the destination for all incoming shipments at a specified destination for a specified time frame. Choose the one that best fits your needs. 

If you choose the Single Letter of Authority, you will need to provide a Bill of Lading number, as this document is for a specific shipment. With the General Letter of Authority, specify the time frames (defined start/end date of validity or unlimited) and, if necessary, select the ports or locations this document should cover and/or the Shipper. 

You can submit a Letter of Authority before the pick up of your cargo. We recommend requesting the Letter of Authority before the free-time expires to avoid incurring additional storage costs.  

If you need to recall or edit a Letter of Authority, reach out to our local Customer Service team via mail including the LOA reference number. They will be happy to guide you through the necessary steps and provide any needed information. 

If you wish to manage several shipments with one Letter of Authority, you can opt for the General Letter of Authority. This allows you to authorize your chosen partner to pick up your Bill of Landings within the specified time frame. Unfortunately, submitting multiple Single Letters of Authority is currently not available.

Our local Customer Service teams will receive your Letter of Authority request and verify the Authorized Party. Typically, this process takes up to two business days. You will be notified by email once approved or in case any further clarification is required. 

The Arrival Notice and Container Release will be sent to the Authorized Party. If requested the collect invoice will be sent to the Authorized Party, too. The Authorized Party can also have access to view the authorized shipments on Hapag-Lloyd’s Online Business Suite
