User Guide: Booking Amendment

1) Purpose & prerequisites 

Booking Amendment lets you send a change request for an existing booking using a guided web form.

2) How to access Booking Amendment 

2.1 Access via main menu (standard path)

1. Log in to Online Business Suite.
2. In the main navigation menu, click Book.
3. Select Booking Amendment in the drop-down menu.

You will land directly on the Booking Amendment page.

2.2 Access via My Bookings 

Use this when you already see the booking in your list and want to act quickly. 

Option 1 (three dots):

  1. Log in to OBS.
  2. Open My Bookings.
  3. Find the booking you want to change.
  4. Click the three dots (⋯) next to the booking number.
  5. Choose one of the available actions: 
  • Amend (to request changes), or 
  • Cancel (to cancel this booking)

Option 2 (booking number):  

  1. Log in to OBS.
  2. Open My Bookings.
  3. Find the booking number in the list and click it.
  4. Look in the lower-right corner of the page.
  5. Click one of the available buttons:
  • Amend Booking to request changes, or 
  • Cancel Booking to cancel the booking.

Option 3 (filters): 

1. Log in to OBS.
2. Open My Bookings.
3. Use the filters at the top of the page to narrow down the results.
4. Filter by one or more of the following criteria: 

  • From City or Location Code
  • To City or Location Code 
  • Voyage Date Range 
  • Status: Submitted - Under Review - Confirmed - Cancelled - Rejected  

5. Alternatively, use the search bar on the right side of the page.
6. Select the search type from the drop-down list: 

  • Booking No.
  • Quotation/Contract No.
  • Your Reference No.

7. Enter the corresponding number in the field next to the drop-down list.

8. Review the search results and click on the booking you want to view, then click either on the Amend Booking or Cancel Booking. 

  • Booking number → Amend Booking, or Cancel Booking.

This route helps ensure you’re working on the correct booking.

2.3 Access via Navigator 

1. Log in to OBS.
2. Open Navigator.
3. Go to the booking/shipment you want to manage (click on the Booking Number of your choice).

4. Choose Update Booking or More Actions and Cancel Booking.
5. Click More Actions.
6. Select Booking Amendment (or the equivalent option that routes you to the amendment/cancellation form). 

Tip: When you enter via Navigator, the shipment/booking number is typically prepopulated in the form.

2.4 Access via the Chatbot

1. Log in to OBS.
2. Click the cloud icon in the bottom-right corner.
3. Two icons appear (Feedback and Chat with me) → click Chat with me.

Note: Make sure to click a link from the first message as the second will guide you to a page with more information.

This option is useful if you’re unsure where the function sits in the menu.

3) Submit a Booking Amendment (Update) Request 

1. Open the Booking Amendment page (use any access method above).
2. At the top of the form, enter or confirm the shipment/ booking number. 

  • If you came via Navigator/My Bookings, it may already be filled in.

3. Select “I want to update booking”.

4. Fill in the required details for your requested change. 

  • Be specific (what should change, from/to values, dates, locations, equipment, parties, etc. as applicable). 
  • Click Continue.

5. Check the contact email field:

  • It is usually prepopulated from your user profile. 
  • Update it if a different email should receive the case updates. 

6. Click Submit request.

What happens next 

  • You’ll see an on-screen confirmation and a case number. 
  • Use Copy number to clipboard (if available) to save it.

4. Submit a Booking Cancellation Request

  1. Open the Booking Amendment page. 
  2. Enter/confirm the shipment/ booking number. 
  3. Select "I want to cancel booking".

4. Select a cancellation reason from the dropdown.

5. Add additional information (recommended: why, timing constraints, any related references).
6. Click Continue.
7. Verify/update the contact email.

8. Click Submit cancellation. 

What happens next 

  • You’ll receive an on-screen confirmation and a case number (copy it for tracking).

5) After submission: case number, confirmations, tracking 

  • the case number is your reference for follow-up. 
  • we will send an email to the contact email you entered before with: 
        - automatic submission confirmation
        - and later a proper follow-up of the case 

6) Troubleshooting & tips

Shipment/booking number not accepted 

  • Double-check you used the correct number format and that the booking exists and is eligible for changes.

Nothing happens after clicking Submit / error message

  • If you receive an error after submission, click Submit once again (avoid repeated rapid clicks). 
  • If the issue persists, capture:
    - case number (if generated) 
    - screenshot of the error 
    - booking/shipment number 
    - time/date and escalate via your usual support channel.

Email updates not received 

  • Confirm the contact email in the form is correct (typos are common). 
  • Check junk/spam filters if external domains are used.

7) Important Information

Who can request booking amendment/ cancellation?

Typically, booking amendment is restricted to users who have the right to act on the booking, such as:

  • the booking party/ booking owner (the user or organization that created the booking), and/or 
  • the contract owner/ entitled customer (e.g., the party linked to the service contract or customer account used for the booking)

If you do not have the required entitlement, you may be able to view the booking but not submit amendments/cancellations. 

Which countries can use Booking Amendment? 

This depends on the country/ region rollout and local process setup (some locations may have different handling or restrictions). 

You can always review the FAQ section in case you still have some doubts about it.
