User Guide: Company Registration

To unleash the full potential of our digital solutions, please register your company. Simply enter as many details as possible and be guided through the registration process. You will receive your validation after a couple of hours. Afterwards, every Online Business Suite user working in your company will only have to enter their personal details. 

1. Fill in Your Contact Details  

To start the company registration plese fill in your personal details: 

  • First Name  
  • Last Name  
  • Email Address  
  • Phone Number (optional)

2. Provide Company Details

Start by entering your company name. A dropdown list will appear (in case your company is already known) and you can choose from this list.

Choose the correct company from the list.

In a popup that will appear, you can see all the information of the chosen company at a glance.

Click on "OK", if it is the correct company.

The respective information will then be prefilled into the form. If all the information is correct, please click on "Continue".

3. Provide Company Legal Details

Some of the legal details are also already prefilled. To continue with the registration, please provide the information: 

  • Company Type 
  • Form of Business 
  • Start and Date of Incorporation 
  • CTPAT and VAT information

4. Add as Many Additional Information as Possible

This Section is entirely optional, but it helps our customer service team tremendously to get your company up to speed for our online services.

Information in this section can include: 

  • Trade Association Memberships 
  • EORI 
  • AEO 
  • ISO 
  • MOT / CN MOC NR 
  • Shipping and Logistics Information 
  • Business Relationship and Invoicing Information  

Please note that it is mandatory to provide a valid email address for invoices as well as the email address of your accounting manager.

5. Add Documents

Upload all necessary documents to support and verify your company's registration information. 

You can upload files of maximum 10MB. We are accepting documents of .pdf, .doc, .docx, .xls, .xlsx, .jpg, and .png

6. Confirm Your Information  

As a last step, confirm all the information that you have provided in the form and submit your registration request. 

Frequently Asked Questions

In case you have received an email requesting to complete the company registration, we kindly ask you to follow the steps. It is most likely that your comapny cannot be found in our systems and we need more information to create an account for you.

After receiving your information, our sales organization will do the corresponding validations. This usually should happen in less than 48 hours and you will be informed via email.Note: In countries where a physical visit to customer premises is required, this may take longer.

In case of non-complete company registrations, your access will be revoked after a week. Please contact your local sales office to find an alternative solution.

Don't worry. After receiving your request, our colleagues will contact you in case of any missing documents. It's not possible to amend the already sent Company Registration data.

Company Registration ensures that your company is officially verified by Hapag-Lloyd so that you can access all Online Business Suite services such as Booking, Documentation, and Finance solutions.

Other employees from your company only need to complete User Registration, provide their personal information, and select the company they belong to.

If your company verification is denied, you will receive an email notification from Hapag-Lloyd's customer service team. Please reply to that email to request assistance or inquire about the reasons for the verification denial. 

In the User List, you can view all users in your organisation. 

You may upload documents such as:

  • Business registration (Certificate of Incorporation, Trade Register extract)
  • Tax documents (VAT, EORI, AEO, CTPAT)
  • Proof of address (official company address documents)
  • Billing or accounting confirmations
  • Optional certifications (ISO, insurance, etc.)

Allowed file formats include PDF, DOC, XLS, JPG, PNG, and maximum size is around 10 MB.
