Local Requirements

To enhance documentation response times and ensure a high level of invoice accuracy, we kindly request that you provide the following information as accurately as possible when submitting your shipping instructions for each Bill of Lading.

Required Information:


General Details:

  • Bill of Lading Type: (Sea Waybill or Original Bill of Lading)
  • Export Customs References: (POR / CCN or ITN)
  • Port Pairs: Ensure alignment with the booking confirmation/routing.
  • Payment Terms: Specify clearly.
  • Cargo Value: Do not include on the Bill of Lading.


Bill of Lading Parties:

  • Shipper: Complete address, including phone and email address.
  • Consignee: Full address (if not “To Order...”); include contact details such as phone and
    email.

Optional Parties:

  • Freight Forwarder: Include FMC OTI License # (for shipments in the USA).
  • Notify Party: If different from the consignee, provide complete contact information, including
    phone and email.

Container Information:

  • Container Number(s) (if available).
  • Seal Number(s) (if available).
  • Commodity Description(s).
  • HS Code(s).
  • Piece Count(s).
  • Gross Weight(s).
  • OOG or Breakbulk must provide dimensions.
  • Reefer containers must provide vent settings and temperature.

Additional Requirements by Destination Country:

Certain destinations require specific information. Please include these details where applicable:

  • MTD Type: (e.g., Colombia – OBL only).
  • Volume(s): (e.g., Japan).
  • NCM Code: (e.g., Brazil).
  • Cargo Value: For manifest purposes only, as required by the destination country (e.g., India).
  • Tax Identification Numbers: (e.g., CN Tax ID for Argentina, ABN# for Australia).
  • Other details as necessary.

 

Important Reminder:
The contracting/shipper party or its affiliates named in the service contract must appear on the Bill of
Lading as either the shipper or consignee, in accordance with our Terms and Conditions.

Frequently Asked Questions

Submitting and Managing Shipping Instructions 

The amendment can be made using our BLDA solution after creating the first draft based on your submitted SI.  

Upon successful submission of a shipping instruction, a summary screen is shown and can be used as a receipt. It can be printed or saved for your records.   

Yes. With the Preview Before Submit feature, you can review all your entered details in a clear summary view. You can also edit sections directly from the preview and download it as a PDF.

You will see an on-screen confirmation with a summary of your submission, which can be saved or printed. The first draft of the B/L will then be created.

Yes. The Save function allows you to store your Shipping Instruction as a draft. You can return at any time to complete and submit it. Saved drafts are accessible directly from the Saved Drafts tab in the application, but are also prompted when reopening the shipment.

Bill of Lading (BL) Operations 

General BL corrections can be sent through our BLDA solution. Your request will be taken care of internally and a new BL draft will be sent back for approval in due time.   

You can specify the number of freighted originals, freighted copies, unfreighted originals, and unfreighted copies directly in the Document Issuance section.

 You can choose between Original Bill of Lading, Sea Waybill or electronic BL (eBL). 

Process & Functionality

Your local customer service contact will support you if you experience any issues. For system errors, please share also the displayed transaction ID. Additionally, you can submit feedback through the tool directly.   

Shipping Instructions is cloud based and is accessible from any modern web browser without the need for specific downloads or plug-ins.  
 

The Shipping Instructions online solution uses industry-standard encryption and security practices to ensure that your data is secure and accessible only to authorized users.   

No, for now, it is only available in English. In the long term, however, we are planning to make Shipping Instructions and other online solutions available in multiple languages as well.    

We will communicate updates and new features through the Shipping Instructions solution, emails, and updates posted on the solution’s landing page.
