User Guide: Booking

In this user guide, we will show you how easy it is to submit your bookings with us via our Booking tool in the Online Business Suite. You can also find specifications for Dangerous Goods bookings in this user guide.

How to submit your booking in just six simple steps with Hapag-Lloyd:

Log In and Navigate to Booking

Go to the left-hand side Navigation and click on the item "Book" to access our booking tool via "Create Booking". You will be prompted to log in.

Enter your Hapag-Lloyd credentials to access the booking tool.

Please note: If you are not yet registered for the Hapag-Lloyd Online Business Suite, you need to register first. Afterwards, your registration will be validated and you will be able to access our digital tools within a couple of days.

Step 1: Request

Enter your Quotation or Contract Number into the search field and click on the "Confirm" button.

Select your routing details. Based on your tariff, you may be able to select inland transport. For Merchant Haulage (MH) search for Port or Terminal. For Carrier Haulage (CH) search for Door Location.

Specify details about the container. This includes units (kg/cm or lb/in), container type, and quantity.

You can also accept to confirm a substitution of 42' GP and 45' GP container types for 40' GP or other available options.

Please note: Even if you accept a substitution, the booking may still be cancelled, if no suitable equipment is available.

Next, you can select the commodity details that you are shiping and also specifiy whether or not your shipment contains dangerous goods.

Step 2: Schedule

After submitting your details, you will be guided to the next step: Schedule. In the sidebar you can see a summary of your request.

At the same time, a draft is created in the My Bookings section.

Based on your entered details, a vessel is selected and you can review the Additional Services from the Quotation journey. 

By clicking on "Show Details" you can see all the routing details as well as relevant cut-off dates for the shipment. You can also filter for the Earliest Departure, Earliest Arrival, or the Shortest Transit Time.

Step 3: Containers & Cargo

The third step is focused on container pickup. Here, it is possible to specify a different pick-up location if needed and previously agreed with the local office, otherwise can be ignored and continue. 

The container configurator then allows you to provide cargo information and to capture any additional requirements through remarks.

You will be shown cargo details and can also add additional requirements depending on the cargo type and location.

Please note: Any requests will be reviewed by our team and need to be confirmed according to respective availability.

Step 4: Country Specific Information

The process includes entering the details about the Bill of Lading, with the option to specify the required number of BLs.

Depending on the destination, such as the USA or Canada, it is also possible to insert the transmission codes.

Step 5: Additional Information

The process includes completing the Reference Number section and entering the necessary contact details. 

You can also provide additional details such as information about shipper, consignee, or the freight forwarder.

Step 6: Review and Confirm

In the final step you can review all of the booking details in a single screen. YOu can also save the booking as a template.

After checking if all details are correct, submit your booking.

Bookings with Inland CH Added

In case you have selected an inland pickup location for your shipment, you will see an additional step after 3. Containers and Cargo.

In this step you will be prompted to enter the details related to the Export Position Address.

You need to enter the mandatory fields:

  • Company Name
  • Street
  • City

Bookings Containing Dangerous Goods

If you have dagerous goods in your booking, you will aee all of the available dangerous goods options after selecting "Yes".

You need to enter the UN number and can continue with step 2: Schedule.

In step 3: Containers and Cargo, you will also need to insert the respective dangerous goods information to continue with your booking.

After submitting your details, you will see your booking acknowledgement. It might take a whiole to be reviewed.
