User Guide: Statement of Account

Welcome to Hapag-Lloyd’s Online Statement of Account, your streamlined tool for financial transperency.

Accessible via the Finance section of our Online Business Suite, this feature empowers you to: 

  • get a quick summary of your open invoices and outstanding balances 
  • request your statement anytime with just a few clicks 
  • stay on top of payments and make smarter financial decisions 

This guide is tailored for Hapag-Lloyd customers who ship cargo globally and want a simple way to manage invoices and payments in one place. 

Log In and Navigate to "My Invoices"

Go to the left-hand side Navigation and click on the item "Finance" to access the invoice overview via "Statement of Account". You will be prompted to log in.

Enter your Hapag-Lloyd credentials to access the overview.

Please note: If you are not yet registered for the Hapag-Lloyd Online Business Suite, you need to register first. Afterwards, your registration will be validated and you will be able to access our digital tools within a couple of days.

Using the Form to Access Your Statement of Account

Once you click the Statement of Account link from Finance section, a simple form will appear on your screen through which you can easily request your statement of open invoices with just few clicks.

The form has four sections, which are explained below step by step: 

I. Statement of Account section: displays details of your most recently requested statement, including the collecting office, date, and time. If you have not yet requested a statement through the online tool, this section will remain blank.

II. Collecting Office section: displays the collecting office(s) responsible for managing your invoice collections. You can also find this information in the “My Invoices” dashboard under the Collecting Office column, as well as on the PDF version of your invoices.

  • Single Collecting Office: If your logged-in user is linked  to only one collecting office, the value will appear as non-editable. 
  • Multiple Collecting Offices: If your logged-in user is linked to more than one collecting office, a drop-down menu will be displayed, listing all available options.

III. Provide Recipient for Email: allows you to specify the email addresses of all recipients who will receive the statement of account.

  • Primary Recipient: Your logged-in user’s email address will always be treated as the primary recipient for these statements.
  • Additional Recipients: You may add up to 20 additional email addresses of individuals who, to your knowledge, should also receive the statement. 
  • Authorization Responsibility: Please note that you are responsible for ensuring all added recipients are authorized to receive the statement of account. 
  • Editing Recipients: You can remove any additional email addresses before submitting your request.

 Acknowledgment Screen for Successful Request

After submitting your request, a confirmation message will appear stating “Requesting Statement of Account.”

Please do not close this window.

You will then be redirected to the Request Successful screen. You, along with any additional recipients specified earlier, will receive an email containing an Excel file with details of your open invoices.  

You can either click  "Go to My Invoices" to return to the main My Invoices dashboard or click “Statement of Account” to request a statement again.

By following these steps, you can easily request and receive your Statement of Account through our digital application.
