User Guide: Customs Clearance

Welcome to Hapag-Lloyd's Customs Clearance web-based solution! 

This platform allows you to manage import and export customs clearance for your shipments online. Our authorized service partner prepares and submits your customs declarations to the relevant authorities and keeps you informed throughout the clearance process.

This guide is intended for customers using Hapag-Lloyd's Customs Clearance solution. The service is currently available for imports and exports to and from Australia, Belgium, France, Germany, the Netherlands, Spain, the United Arab Emirates, and the United Kingdom.

1. Accessing Clearance Application 

Customers need to log in with their credentials to submit a registration and declaration. 

Navigate to Additional Services and then click on "Purchase Customs Clearance".

2. Registration (one-time)

Before submitting your first declaration, your company must complete a one-time registration. During this process, you will grant our authorized service partner a Power of Attorney and provide the required company documents, allowing them to act on your behalf.

1. Registration Type

Under "For whom do you want to register?", select one of the following options:I want to register my own company.I am a freight forwarder and want to register a third party. In this case, all company and customs details must belong to the third-party company, and the Power of Attorney must be signed by that company.Enter a Contact Email Address (mandatory). Our customs broker will use this email address for all registration and declaration-related communication.

2. Customs Authority Details 

  • Customs Authority: the country where your cargo will be cleared
  • VAT Number (If applicable) 
  • EORI Number (If applicable): the Economic Operators Registration and Identification number, required for customs purposes 

Depending on the country, further fields appear, for example whether you want to use your own deferment/credit account and guarantee or the broker's.

3. Power of Attorney 

  • Click Download Power of Attorney and fill it in. 
  • Print it, have it signed by an authorized person and add a wet company stamp. 
  • Tick Document was printed and signed by an authorized person. 

4. Documents Upload 

Prepare the following documents:

  • A signed copy of the Power of Attorney.
  • An official document confirming that the signatory is authorized to represent the company (for example, a Commercial Register extract, company statutes, or an authorization letter).

Click "Please click here" to attach and send your documents by email. A pre-filled email to our authorized service partner will open. Attach the required documents in .jpg, .png, or .pdf format and send the email.

5. After Submission: Original Power of Attorney 

Send the original Power of Attorney by courier to the broker address provided in the registration form.

Once the document has been sent, select "Understood, we will send the documents" to confirm.

6. Consent and Submit 

Tick the consent box to authorize the transfer of your data to our broker and accept the privacy terms. Click Submit.

Our broker will review your documents and notify you of your registration status:

  • Approved: Your registration has been successfully completed.
  • Rejected: Your registration could not be approved.
  • Open: Additional information or documents are required before the review can be completed.

Note: We recommend completing your registration before submitting your first declaration. If your registration has not been approved, your declaration request may be rejected.

3. Creating a Customs Clearance Declaration 

Once Registration is submitted, Customer can continue with the declaration process. 

1. Declaration Details 

  • Country of Customs Clearance: select the country first. The rest of the form appears after this. 
  • Declaration Type: Import or Export 
  • Estimated price: Price will be visible based on selection of the county and declaration type.

2. Company Details 

Enter the details of the company to be declared (for an import, the Importer Company Details): 

  • Contact Email Address 
  • Company Name
  • VAT Number (e.g. XY123456789) 
  • EORI Number

3. Shipment Details 

  • HL Shipment Number 
  • Bill of Lading Number 
  • Port of Discharge 

4. Declaration Data 

  • Incoterms: select from the list 
  • Incoterms Location 
  • Comment: any information our broker should know about this shipment. The broker can also reply with comments. 

5. Accept and Submit 

Tick I accept the Terms and Conditions. Click Submit.

4. After Submission 

Right after you submit, you receive a confirmation email with the subject Your Customs Declaration Request | Shipment [number]. It summarizes your declaration data and lists the documents to prepare: 

  • Commercial invoice 
  • Packing list 
  • Bill of Lading 
  • Cargo details, including the relevant HS codes 

Additional documents may be required depending on the country. If your company is declaring for the first time, you will also receive a Power of Attorney to sign and return with the documents.
