Dear Valued Customer,

At Hapag-Lloyd, we are committed to providing transparent and efficient service. Below are important updates regarding booking procedures, documentation processes, and import operations in Spain.

1.      Booking Procedures

Booking Amendments & Cancellations

  • All booking amendments should be submitted online via the Hapag-Lloyd Navigator.
  • Requests submitted online receive priority and are free of charge.
  • Amendments sent via email will incur a EUR 75 fee from August 10, 2022.
  • Customers can request:
    • Booking cancellations
    • Changes to container quantity, routing, mode of transport, and vessel
  • Changes managed directly by Customer Service:
    • Assigned container requests
    • Change of Destination (COD) requests after containers arrive at the terminal.

Global Policy on Booking Changes

  • Certain booking details cannot be changed, including:
    • Quotation number
    • Named account details
    • Commodity type
  • If changes are needed, the booking must be canceled and rebooked.

Dangerous Goods (DG) Process in Spain

  • Booking requests for dangerous goods (DG) must include full IMO documentation, submitted to [email protected]
  • Incomplete documentation will result in booking cancellation within 48 hours.
  • Terminal approvals take 24-48 hours, and further checks may be required for transshipment or final delivery.

Customs Clearance in Spanish Ports

  • No need to submit customs clearance documents for shipments via Barcelona, Valencia, and Sagunto; Hapag-Lloyd retrieves them directly from the Agencia Tributaria.
  • Containers without completed clearance will receive reminders, and incorrect customs data may result in penalties.

Vessel Call & Terminal Admission (Barcelona & Valencia)

Before picking up containers, customers must confirm vessel call admission via:

If a vessel call is closed, a EUR 150 document change fee (TMO) applies.

Verified Gross Mass (VGM) Process

  • All standard export containers at the following Spanish terminals will be automatically weighed upon arrival:
    • Barcelona/Tarragona – APMT BCN
    • Valencia/Sagunto – APMT VLC, CSP VLC, Inter-Sagunto
    • Malaga – Noatum Malaga
    • Vigo – TCV
    • Gijon – APMT Gijon
    • Bilbao – Noatum Bilbao
  • Customers do not need to submit VGM manually, as the terminal provides the verified weight directly to Hapag-Lloyd.
  • There will be no additional cost for this service.

Exceptions:

  • OOG (Out of Gauge) cargo: Customers must submit VGM data via the Hapag-Lloyd website or an EDI channel, as terminals do not offer weighing for these cargo types.
  • Certain ports and shipments (e.g., Portugal, Algeciras): Customers must continue submitting VGM data manually.
  • If the terminal is not listed above, customers must submit the VGM manually via the Hapag-Lloyd Online Business Suite.

2. Documentation Procedures

Bill of Lading (BL) Draft Approval & Amendments

  • From June 26, 2023, all BL draft amendments must be submitted online via the BL Draft Approval tool.
  • Email requests will not be processed; only EDI and online submissions are accepted.
  • Draft BL approvals allow for quick, efficient corrections without the need for printing or emailing.

Courier Costs for Documentation

  • From July 22, 2024, Hapag-Lloyd will no longer cover courier costs for BL and documentation delivery.
  • Customers must provide their own courier account details or arrange pickup from our offices.

3. Import Procedures

Import Reefer Container Assignment (Barcelona & Valencia)

From March 4, 2024, all reefer containers imported through Valencia and Barcelona will be assigned at our discretion to reduce congestion and improve delivery efficiency.

  • Customers must send requests at least 24 hours before delivery, indicating "INLAND", along with the discharge location and date.
  • Tariff details are available at Find Inland Tariff Rates - Hapag-Lloyd.
  • If two inland tariffs appear for 20'RE or 40'RE, the lower price applies to non-operating reefer (NOR) containers. The higher price applies to operating reefer containers. The NOR tariff is only available when booked with an NOR ocean freight rate.

Import Container Assignment for Spain

From April 1, 2022, Hapag-Lloyd retains the right to assign all import containers unloaded in Spanish ports.

  • Customers must submit requests 48 hours in advance, specifying discharge location and date.
